Define your project and delivery scope first
Before assessing a supplier, define what you are asking them to deliver. A PCB quote and a turnkey PCBA quote require different inputs. A prototype shipped to one location has different logistics and documentation needs from a recurring production program with packaging, labeling and delivery rules.
Your request should identify:
- whether the requirement is PCB fabrication, PCBA or turnkey delivery;
- the available files, revision status and open technical questions;
- quantity, prototype or production stage and required delivery window;
- destination country or region, shipping preference and any customer-appointed freight process;
- packaging, labels, certificate of conformance, material declaration or other documents required for the order;

Do not ask a supplier to guess import, customs, tax or legal obligations. Confirm those matters with your own customs broker, freight partner or legal adviser. Check how technical communication is handled
Good communication is not just fast email replies. It is a process that keeps technical decisions tied to the correct revision of the files.
Ask the supplier:
- Who receives and reviews engineering questions?
- How are Gerber, BOM, assembly drawing and revision changes identified?
- Will manufacturability questions be sent in writing before release?
- How are proposed component alternates presented and approved?
- What is the escalation path if a production or sourcing issue affects the schedule?
- Which contact is responsible for commercial updates and which for technical decisions?
The answer should show a usable workflow, not simply a promise of 24-hour service. For a design that needs a first technical check, provide the available files for a DFM review before treating the quote as final.
Ask for a quotation that states its assumptions
A quote is useful only when it clearly defines what is being supplied. Compare the scope as carefully as the price.
For PCB fabrication, check the board revision, layer count, material assumptions, finished copper, surface finish, panel or tooling assumptions, quantity, inspection or test scope, packaging and delivery conditions. For PCBA, also check the BOM revision, sourcing model, approved alternates, assembly scope, programming/test requirements and customer-supplied items.
Ask the supplier to identify exclusions and open questions. Examples can include missing component manufacturer part numbers, unclear polarity notes, unavailable test data, a material still awaiting approval or a delivery condition that must be confirmed. Shipping terms, carriers, insurance, customs handling and delivery responsibilities should be confirmed for the actual destination and order. Do not rely on a generic statement that a supplier “supports global delivery.”
Before release, confirm the delivery address, contact, packaging requirements, shipment method, commercial terms, required documents and the person responsible for customs or broker questions. If a buyer has a preferred freight forwarder or account, provide that instruction early. If the supplier proposes a shipping arrangement, ask what is included and what still needs destination-specific confirmation.

Verify company identity and payment instructions independently
For any new supplier relationship, independently verify the legal entity, official website, address, authorized commercial contact and bank/payment details through the company’s formal channels. Treat unexpected changes in payment instructions, email domains or delivery contacts as a reason to pause and verify.
